My inventory count was off by 22% for six months before I caught it
I run a small parts distribution side gig out of my garage in Tucson, and last quarter I noticed my profit margin kept shrinking even though sales were steady. Turns out my spreadsheet formula double counted returns and I was ordering way too much of one fastener size. It took me three full evenings with a physical count to find the error, which was basically six months of bad data. I had already quoted two big jobs based on those numbers, so I had to eat the difference on one contract. Now I do a random 10 item spot check every Friday morning before I place orders. Has anyone else had a data mistake that sat hidden for months, and how did you figure it out without going crazy?

Flip it around and check your sales tax numbers. If your count was off for six months, your taxable inventory value was probably wrong too, which means you might have overpaid or underpaid use tax on those two big jobs. Took me forever to realize my spot check wasn't catching that the actual root problem was my valuation method, not just the counts. Now I run a quick tax liability calc every month alongside the spot check, and it catches data errors way faster than counting screws.
